New version of Office

We’re now using the latest version of Office – Microsoft Office 365 ProPlus – which is based on Office 2016 but is continually updated with new features.

It is the same version people can use on their own devices at home because our license allows every student and member of staff to download free up to 5 installs of Microsoft Office on their own equipment to use while they are at the University. It is also compatible with the online version of office which can be accessed from any browser. Both the install files for personal devices and the online version of Office are available from https://go.shu.ac.uk/office365.

Microsoft Office applications are available from the start menu, with the most popular applications being pinned to the Start Menu.

Working with Office documents in OneDrive.

Microsoft Office 365 ProPlus allows you easily save and retrieve files to and from your Sheffield Hallam University OneDrive storage.

In order to save a newly created file from your OneDrive storage you need to select File, Save As and then select the location ‘OneDrive – Sheffield Hallam University’. This will allow you to enter a new name for the document and select a folder where the file should be saved to.

Once completed the file will be automatically available from any Windows 10 Managed Desktop workstation and personal devices once you have connected to your Sheffield Hallam University OneDrive storage.

 

 

Sharing documents

You can easily share a link to any Office document you’re working on with anyone at the University. You can choose whether to share a link to read or a link to edit so you can collaborate with your colleagues.

Syncing Office settings

Some office settings will automatically sync between different devices, including recently opened documents.  If you’ve opened an Office file on your PC at home it will show in your recent documents on a University PC.

Keeping your Office software up to date

Your PC will receive monthly updates to ensure Office is up to date and secure. If you have Office open when an update is deployed, you will be notified that your applications will require a restart..  Work should be saved automatically but we recommend saving your work before you apply the update.  You can schedule this to suit you to some extent but all your Office applications will close and then reopen once the update is complete

If you do not apply the update within a week, You will find Microsoft forces the installation which you can’t interrupt. This is Microsoft’s way of ensuring PCs remain secure and up-to-date.
