email to Office 365 – coming to HWB Staff soon

Migration of email to Office 365

A new online version of Exchange (our email client) is being rolled out at the University offering staff more email storage and better access from mobile devices. Your full Outlook inbox will be available online from anywhere on and off campus and you will have 50 gigabytes of space in your mailbox (nearly 100 times the current amount), along with unlimited storage for your email archive.

When will I move to the new version?

You will switch over to the new version in the next few weeks so you will notice a difference when you log onto your PCs and mobile devices then.  IT Help will send you an email letting you know the date of the move nearer the time.

What is happening now?

Preparatory work on your archived e-mail is taking place in readiness. You might notice that the link to the Enterprise Vault (your current email archive) disappears as archived e-mails are moved into a new personal archive folder in Office 365.  You may also sometimes be asked to login a second time. No mail will be lost but if you have any trouble finding archived emails, use these instructions to access them through a browser until the migration date. At some point you will find any emails more than 6 months old will be moved into the new archive.

What do I need to do?

You don’t need to do anything now and the migration will happen automatically. You won’t lose access to your inbox but afterwards you will need to use your Office 365 login details in the format <yourusername>@hallam.shu.ac.uk along with your normal SHU password to log into your email.  You will also need to change the account settings on any mobile phones or tablets you use.

Will the version of Outlook I use on my desktop PC or Laptop change?

No. Outlook 2010 will be still the installed version of Outlook on these, only the way your e-mails are stored is changing.

Will there be help available when I move across?

Yes, there will be instructions and you will find more guidance on the staff intranet. Digital Technology Services will also have people on hand to help on the day of the move in case you have any problems logging in. In the meantime, if you have any questions about migration or the new service, please email O365Feedback@shu.ac.uk or give Jenny Kennedy a call on x6579.
