Important for awareness: Start of year schedule for 2017/8 student processes

Summary:

The start of year schedule for 2017/8 includes a list of the headline key processing dates and process events which are detailed below.

Details:

As we approach the beginning of the 2017/8 academic year we have been working with colleagues in AUKR, DTS and Timetabling to produce a schedule of key processing dates for the run up to the start of year.

Changes for this year:

All dates have been updated for 2017/8. These are often not the same as they have been in previous years and staff are advised to consult the schedule below. A number of substantial changes as a consequence of the ESCM programme took effect either from the start of or during 2016/7. However, the final part of the new academic model in SITS is the implementation of a new structure for the module codes (and the coding of the module occurrence records that sit below the module record). Full details of the new module coding structure can be found in the Staff Guide to the New Module Model. This change has been incorporated into all training and briefing sessions for staff involved in the affected processes.

Please also note:

  • Due to our dependency on both internal systems (e.g. SITS/ SITS online) and external systems (e.g. the Student Loans Company systems and UCAS) it is possible that some dates may have to be moved – if this is the case a revised schedule will be issued.
  • This schedule is intended for staff use and whilst some dates may be provided to students in a different format, a number of key dates should not be communicated to students – these are identified in red below.

26th May Switch OFF Progression automation.
This applies to the progression of students from 2015/6 to 2016/7.
Any students who have not yet progressed will need to be progressed by AAR.
16th June Switch OFF Transfers.
10th-21st July Resit Examinations.
25th July
Not to be communicated to students
ATR (Applicant Transfer) starts running for new students on the following course types:

•        Research

•        Postgraduate (excluding integrated masters)

•        Un-programmed, short courses and ACCA/CIMA

•        Courses agreed by Registry Services / AUKR for “early ATR”*

The ATR process creates a student’s SCE record for 2017/8 if they have firmly accepted an unconditional offer. The running of ATR will not lead to a student receiving their SHU Login and being invited to pre-enrol until emails start to be sent on a “rolling basis” to eligible students.
Core module diets are attached for students who have ATR’ed.
Students’ module records will be downloaded into S+ and Blackboard the following day.

25th July Switch OFF enrolment tasks for 2016/7.
All 2016/7 students must be enrolled by this date.
26th July Switch ON Transfers task/ functionality.
28th July Switch ON enrolment task for NEW students.
29th July
Not to be communicated to students
Start sending email invitation to pre-enrol to new students with early start courses starting in AUGUST ONLY.
Students will receive a single email asking them to log in and set their password prior to pre-enrolling.  Emails will then be sent out on a “rolling basis” post ATR. The student will only receive the email if / when their record is ready for pre-enrolment. Students should be advised they will receive an email when they are eligible to enrol.
31st July Publication of 2017/8 timetable to RETURNING students.
2nd to 14th August August 2017/8 enrolment events.
2nd August Switch ON Progression Automation.
Progression of returning students (via “Automated” Progression or “Manual” Progression) to begin running overnight.
2017/8 SCE records for returning students who are eligible to progress will be available the following day to begin input of SCE Fee Profiles where applicable.
Core module diets are attached for students who have progressed – this will be included in the automation for both Manual and Automated Progression.
Students’ module records will be downloaded into S+ and Blackboard the following day.
9th August Registration Confirmation Reporting to the Student Loans Company to release maintenance support payments to students begins.
Registration will be confirmed for full time enrolled students where they have a completed Student Finance application which includes maintenance grant and/or maintenance loan.
Maintenance payments to confirmed students will be made on the start date of their course or later if their registration is confirmed after the start date.
This includes Full-time Undergraduate students and Postgraduate Loans students on designated courses.
13th August A-level results Sunday. Results received from UCAS.
16th August
Not to be communicated to students
Switch ON enrolment task for RETURNING students.
Start sending email invitation to re-enrol to returning students.
Email invitations will be sent on a “rolling basis” but ONLY to students whose record is ready for them to re-enrol.
17th August A-level results published to students. Start of clearing.
21st August to 5th September Deadline period for marks to be provided for UG Reassessment Boards (DAB meetings).
22nd August ATR (Applicant Transfer) starts running for new students on the following course types:

·         Externally validated courses

·         Undergraduate awards (including integrated masters)

23rd August Where a placement is not confirmed students should not be transferred to full time until this date.

Start sending email invitation to pre-enrol to NEW students starting from SEPTEMBER onwards.
Students will receive a single email asking them to log in and set their password prior to pre-enrolling.  Emails will then be sent out on a “rolling basis” post ATR. The student will only receive the email if/ when their record is ready for pre-enrolment.
31st August First September 2017/8 enrolment event.
31st August to 11th September Module selection period (pre-induction) for new students in SBS/ D&S.
5th to 12th September UG Reassessment Boards (DAB meetings) take place.
6th to 8th September PG Trimester Two reassessment deadlines for marks to be provided for Boards (standard courses all Faculties).
11th September Attendance Confirmation Reporting to the Student Loans Company to collect tuition fee loan payments begins.
Attendance will be confirmed for enrolled students where they have a completed Student Finance application which includes a tuition fee loan.
13th to 15th September International orientation events (international enrolment is main enrolment week).
18th to 22nd September Main enrolment week.
18th to 22nd September Module selection period (induction) for new students in ACES.
19th September Publication of 2017/8 timetable to NEW students.
19th to 21st September PG Trimester Two Reassessment Boards (standard courses all Faculties).
25th September Semester 1 teaching begins (standard courses).
25th September to 5th October Enrolment ‘mop-up’ events.
26th to 29th September PG Trimester Three reassessment deadline for marks to be provided for Boards (standard courses all Faculties).
6th October Deadline for all standard September starting students (new and returning) to be enrolled.
9th to 11th October PG Trimester Three Reassessment Boards (standard courses all Faculties).
13th October Deadline for the records of all standard September starting students (new and returning) who have not enrolled to be closed down appropriately.
