Staff Sickness Absence Process – Key Information

As its heading in to cold season it’s worth a quick reminder on the sickness process and the support that’s available.

Reporting Sickness Absence

All staff should contact Line Managers directly to report sickness. Managers record the information on the Core Portal.

If a member of staff is unable to speak directly to their manager before 9.30am they should leave a message with another member of staff in their team. That member of staff must then email the details directly to the line manager, this includes the reason for sickness and cover arrangements in place.

If the line manager is out of the university for longer than 5 days e.g. on leave or off sick; the member of staff that receives the message from the absent member of staff must email full details of the sickness absence to; ! HWB Staff Sickness.

Just to note;

  • Fit Notes- need to be sent to line managers who should keep a copy locally for their records. The original sick note should be returned to the staff member to retain for their own information.
  • Self-certification- is up to the 7th calendar day of illness. On the 8th day and beyond, a fit note is required.
  • Update for area managers- the bi-monthly sickness reports are being discontinued. All information can now be accessed through Core. Individual reports for exceptional cases can be requested through the Staff Sickness inbox.
