Essential information about booking staff travel

The process for staff travel bookings has now changed following the recent appointment of Clarity Travel Management (CTM) as the University’s Travel Management Company (TMC).

In summary:
• All staff (or their delegates) are responsible for booking their own travel.
• All flights originating in the UK, Eurostar and overseas hotels must be booked via the TMC and these bookings will require authorisation from the appropriate budget holder.
• Staff have the option of booking UK travel and hotels via the TMC or they can self-book using an alternative method e.g. purchase card
• If booked via the TMC, standard class UK rail travel will not need authorisation; neither will UK hotel stays below an agreed rate. Other booking methods will still require authorisation (e.g. by purchase card)
• 1st class UK rail travel booked via the TMC will require authorisation from the appropriate budget holder.
• The process for obtaining travel insurance is built into the CTM booking process meaning staff will no longer be required to use the ITRS system to request insurance.

To book with CTM either:
• Telephone the Rotherham branch on 0333 014 6096
• Email the Rotherham branch on shu@claritytm.co.uk
• Use Go2book, CTM’s online travel booking system

How to log in to Go2book
Go to http://www.go2book.co.uk/, type in your SHU email address on the log in screen and click ‘Recover Password’. An email will be sent to you with password instructions.

Known issue
• When requesting authorisation for your booking do not press the ‘Approve All’ button as an error will occur. Instead, press ‘Get Authorisation’ for each element of your booking.
