Read our\u00a0<a href=\"https:\/\/blogs.shu.ac.uk\/studentreps\/files\/2021\/10\/Student-Voice-Group-ToR-2020.pdf\">Student Voice Group Terms of Reference 2020<\/a> (PDF document).<\/span><\/p>\n<h3><span style=\"font-family: arial, helvetica, sans-serif;font-size: 12pt\"><strong>Student Representative Steering Group<\/strong><\/span><\/h3>\n<p><span style=\"font-family: arial, helvetica, sans-serif;font-size: 12pt\">The Student Rep Steering Group reports to the University&#8217;s Student Experience Committee, and is run jointly by Sheffield Hallam University and the Sheffield Hallam Students&#8217; Union.<\/span><\/p>\n<p><span style=\"font-family: arial, helvetica, sans-serif;font-size: 12pt\">It&#8217;s purpose is to:<\/span><\/p>\n<ul>\n<li><span style=\"font-family: arial, helvetica, sans-serif;font-size: 12pt\">Ensure the consistent delivery of the student rep system, including course representatives, departmental representatives and student representation on University and Students&#8217; Union committees<\/span><\/li>\n<li><span style=\"font-family: arial, helvetica, sans-serif;font-size: 12pt\">Evaluate and improve the student rep system to ensure that it contributes to the ongoing enhancement of courses and University and Students&#8217; Union services<\/span><\/li>\n<li><span style=\"font-family: arial, helvetica, sans-serif;font-size: 12pt\">Ensure the student voice is at the heart of University decision making, and to develop and implement institutional policies and approaches relating to the NSS Student Voice questions (Q23-26)<\/span><\/li>\n<\/ul>\n<p><span style=\"font-family: arial, helvetica, sans-serif;font-size: 12pt\">Membership includes both academic and professional services leads from colleges, departments, and Student and Academic Services, as well as Department Reps and <a href=\"https:\/\/www.hallamstudentsunion.com\/student_officers\/\" target=\"_blank\" rel=\"noopener noreferrer\">College Officers<\/a>. It is also a chance for students to find out important information, have a say on prospective changes, and influence the future of the course \/ department \/ college\/ university. The staff-student committee meeting aims for a partnership approach between Student Reps and university staff which will influence short-term and\/or long-term quality improvements to the delivery and experience of the course.<\/span><\/p>\n<p><span style=\"font-family: arial, helvetica, sans-serif;font-size: 12pt\">The format of meetings varies greatly according to whether it is a formal committee or informal forum, and whether the meeting is at course, department, college or university level.<\/span><\/p>\n<p><span style=\"font-family: arial, helvetica, sans-serif;font-size: 12pt\">It&#8217;s often a good idea for staff and students to identify in advance some specific areas for which they are seeking feedback , as well as providing opportunities for feedback on topics which are raised in the meeting.<\/span><\/p>\n<p><span style=\"font-family: arial, helvetica, sans-serif;font-size: 12pt\">Typical areas for consultation at staff-student committee meetings include:<\/span><\/p>\n<ul>\n<li><span style=\"font-family: arial, helvetica, sans-serif;font-size: 12pt\">induction<\/span><\/li>\n<li><span style=\"font-family: arial, helvetica, sans-serif;font-size: 12pt\">learning environment \/ resources<\/span><\/li>\n<li><span style=\"font-family: arial, helvetica, sans-serif;font-size: 12pt\">academic support<\/span><\/li>\n<li><span style=\"font-family: arial, helvetica, sans-serif;font-size: 12pt\">assessment and feedback<\/span><\/li>\n<li><span style=\"font-family: arial, helvetica, sans-serif;font-size: 12pt\">timetabling<\/span><\/li>\n<li><span style=\"font-family: arial, helvetica, sans-serif;font-size: 12pt\">teaching<\/span><\/li>\n<li><span style=\"font-family: arial, helvetica, sans-serif;font-size: 12pt\">placement support \/ work-based learning<\/span><\/li>\n<li><span style=\"font-family: arial, helvetica, sans-serif;font-size: 12pt\">staff-student communications<\/span><\/li>\n<\/ul>\n<p><span style=\"font-family: arial, helvetica, sans-serif;font-size: 12pt\">Course Reps should also be encouraged to identify areas of good practice in order to Student Reps in meetings<\/span><\/h2>\n<h3><strong><span style=\"font-family: arial, helvetica, sans-serif;font-size: 12pt\">Before the meeting<\/span><\/strong><\/h3>\n<p><span style=\"font-family: arial, helvetica, sans-serif;font-size: 12pt\">Where possible, Student Reps who attend formal committee meetings at Department, College, or University level should be given the opportunity to discuss the agenda beforehand with the Chair or Secretary, to ensure that they are familiar with the topics which are to be discussed, and to ask for clarification on the expectations for their participation in the meeting.\u00a0<\/span><span style=\"font-family: arial, helvetica, sans-serif;font-size: 12pt\">Student Reps should: <\/span><\/p>\n<ul>\n<li><span style=\"font-family: arial, helvetica, sans-serif;font-size: 12pt\">Read the agenda and any relevant papers once circulated, and look over the minutes of the last meeting<\/span><\/li>\n<li><span style=\"font-family: arial, helvetica, sans-serif;font-size: 12pt\">Collate views from students and fellow Student Reps on the topics to be discussed (contact the Secretary or Chair if you need clarification)<\/span><\/li>\n<li><span style=\"font-family: arial, helvetica, sans-serif;font-size: 12pt\">Let the Secretary know if they want to request an addition or amendment to the agenda<\/span><\/li>\n<\/ul>\n<p><span style=\"font-family: arial, helvetica, sans-serif;font-size: 12pt\">Student Reps are asked to represent the views of their cohort, rather than just bringing forward ideas which are important to them personally.<\/span><\/p>\n<h3><strong><span style=\"font-family: arial, helvetica, sans-serif;font-size: 12pt\">During the meeting<\/span><\/strong><\/h3>\n<p><span style=\"font-family: arial, helvetica, sans-serif;font-size: 12pt\">We have developed <a href=\"http:\/\/blogs.shu.ac.uk\/studentreps\/files\/2014\/08\/Guiding-principles-for-staff-student-committee-meetings.pdf\"><u><span style=\"color: #0066cc\">guiding principles for staff-student committee meetings<\/span><\/u><\/a>\u00a0which set out some basic recommendations for staff-student meetings.<\/span><\/p>\n<ul>\n<li><span style=\"font-family: arial, helvetica, sans-serif;font-size: 12pt\">Student Reps should:<\/span><\/li>\n<li style=\"list-style-type: none\">\n<ul>\n<li><span style=\"font-family: arial, helvetica, sans-serif;font-size: 12pt\">Take part in discussions<\/span><\/li>\n<li><span style=\"font-family: arial, helvetica, sans-serif;font-size: 12pt\">Listen to others<\/span><\/li>\n<li><span style=\"font-family: arial, helvetica, sans-serif;font-size: 12pt\">Represent the views of fellow students<\/span><\/li>\n<li><span style=\"font-family: arial, helvetica, sans-serif;font-size: 12pt\">Be\u00a0constructive where possible, and build towards positive solutions<\/span><\/li>\n<li><span style=\"font-family: arial, helvetica, sans-serif;font-size: 12pt\">Ask for clarification where needed<\/span><\/li>\n<li><span style=\"font-family: arial, helvetica, sans-serif;font-size: 12pt\">Make notes on anything they need to feed back on, or consult fellow students about<\/span><\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<h3><span style=\"font-family: arial, helvetica, sans-serif;font-size: 12pt\"><strong>After the meeting<\/strong><\/span><\/h3>\n<p><span style=\"font-family: arial, helvetica, sans-serif;font-size: 12pt\">Feeding back to students the responses to their feedback and the outcomes of any meetings (&#8216;closing the loop&#8217;) is\u00a0a vital part of a successful student representative system.<\/span><\/p>\n<ul>\n<li><span style=\"font-family: arial, helvetica, sans-serif;font-size: 12pt\">Use an action log to record the main topics of discussion and any agreed action, with a clear indication of timescales.<\/span><\/li>\n<li><span style=\"font-family: arial, helvetica, sans-serif;font-size: 12pt\">Send the list of actions directly to the reps after the meetings, so they can publicise it with their peers.<\/span><\/li>\n<li><span style=\"font-family: arial, helvetica, sans-serif;font-size: 12pt\">Make actions meaningful and, if an issue cannot be addressed, explain why.<\/span><\/li>\n<li><span style=\"font-family: arial, helvetica, sans-serif;font-size: 12pt\">Keep students updated on any developments in response to their feedback.<\/span><\/li>\n<\/ul>\n<p><span style=\"font-family: arial, helvetica, sans-serif;font-size: 12pt\">Student Reps should:<\/span><\/p>\n<ul>\n<li><span style=\"font-family: arial, helvetica, sans-serif;font-size: 12pt\">Keep their fellow students updated on any developments in response to their feedback.<\/span><\/li>\n<li><span style=\"font-family: arial, helvetica, sans-serif;font-size: 12pt\">Feedback to the whole cohort of students where possible (e.g. post updates on course Blackboard site, social media, newsletters, website, etc.).<\/span><\/li>\n<\/ul>\n<p><span style=\"font-family: arial, helvetica, sans-serif;font-size: 12pt\">The university has introduced a <a href=\"https:\/\/blogs.shu.ac.uk\/studentreps\/files\/2018\/09\/Action-Log-template-2018-19.docx\">Summary of Discussion and Action Log template<\/a>, to record the topics discussed at staff-student committee meetings with Course and Department Reps.<\/span><\/p>\n<p><span style=\"font-family: arial, helvetica, sans-serif;font-size: 12pt\">The University has a public\u00a0<a href=\"https:\/\/www.shu.ac.uk\/about-us\/governance-and-strategy\/governance\/student-representation\" target=\"_blank\" rel=\"noopener noreferrer\">statement on its commitment to including student
