Document Library

One of the smaller, but vitally important pieces of work contributing to us “becoming the best Finance Directorate in the sector” is the creation of a comprehensive, centrally located suite of outward facing Finance documents (Policies, Regulations or Procedures).

What are the benefits of having a Document Library?

  • Original versions of all key outward facing Finance documents will be held in a central location enabling you to easily find a document (previously, emails were pinged around asking who had the original version!)
  • Document management information will be added to all documents in the library e.g. policy owner, policy co-ordinator, when the policy was last reviewed, next review date, version etc.
  • A change impact assessment will be in place for each document.  This will enable us to pro-actively manage any actions that may be required when a document changes, enabling us to effectively plan for any future changes.
  • A co-ordinator has been assigned to each policy document.  This person will work with the document owner to co-ordinate changes / reviews.
  • To aid communication a change summary template will be available for the document owner to clearly and briefly summarise any changes.
  • Old copies of documents will be archived, enabling you to quickly and easily refer back to previous versions.
  • There will be clear and consistent processes for :
    • Adding new documents to the library
    • Making changes to documents
    • Reviewing documents at their formal review date
